- Aims & Purpose of the Khatum Policy
- The Management Committee & Trustees of Islamic Cultural & Educational Association(ICEA) would like to express their sincerest condolences for the loss of your loved one. - The Management Committee aim to have an open door policy for the local community so that they can use the facilities during their time of need. All queries will be dealt with sensitively and respectfully.
- Khatum users should recognise that the state of the facilities they find is dependent on the
- previous users’ compliance to ICEA’s rules.
- Khatum users are requested to respect and take care of the premises which are situated in the ‘House of Allah’ and to leave the premises clean and damage free.
- Khatum users are also requested to follow the khatum policy’s guidelines while they remain on ICEA grounds.
- Khatum Timings & Booking Process
- Khatums must be booked in advance in the Association’s Diary via the Administrator during office hours only.
- Weekday khatums can only be booked between the hours of 3.30-7.30pm.
- Weekend khatum bookings and other event bookings will be accorded first come first served
- Khatum forms will be signed by a female and male representative from the khatum group
- Representatives will ensure the conditions in this policy are followed.
- No khatum shall exceed 4 hours in total.
- The duration of the dua should not be longer than 1 hour.
- Serving of food will be limited to 1.5 hours.
- An allowance of 1.5 hours for clean-up time should be considered during the booking.
- General Considerations for Khatam Users
- The nominated MC members will supervise the khatum.
- The Imam Khateeb of the Association will lead the khatum dua.
- Khatum users are advised to tidy all communal areas that have been used (i.e. sitting areas such as halls, kitchens and bathrooms) before leaving the building.
- The representatives must ensure that the cleaning of all communal areas i.e. halls, kitchens,bathrooms are clean before leaving the building.
- All rubbish must be taken away from the Association.
- To abide by health & safety requirements the maximum numbers of khatum users should not exceed 450 people (including children).

- Reheat food only on the hob or oven.
- Use sink to wash small dishes/cutlery not large caterer’s items.
- Clean kitchen to a good state before leaving.
- Take home leftover food. Do not store in the fridge
- Share the kitchen with other users amicably.
- All Caterer’s pans must be placed on a protective surface to ensure that the kitchen’s hard floor is not damaged. (Please ask the khatum committee for further details).
- Check if taps have been left open in any area of the bathrooms. (Shut the taps immediately).
- Check that no nappies have been left on the floor in the toilet/wudhu khana areas or sitting areas.(Remove nappies and place in bins provided).
- Check that no napkins/or kitchen paper is being used as toilet paper. (Remove the
- napkins/toilet paper from the toilet and wudhu khana area immediately). If possible identify the source and explain the rules.
- Check that toilets are flushing properly and there are no blockages. (If there is a blockage inform the Khatum Committee immediately).
- Provide toilet paper for the convenience of your guests. This also prevents toilet blockages when unsuitable paper is used.
- Inform all female guests that sanitary products must be disposed of in bins provided.
- Inform guests that all blockages will need to be paid for.
- Serving/Clearing Food
- Ensure food and beverages to be served are ordered in time from the caterers.
- Provide disposable dishes, cutlery and glasses.
- Provide black bin bags for the disposal of rubbish.
- Ensure napkins used at mealtimes are not used as substitute toilet paper.
- Use available screens to partition area for female and male guests.
- Leave all large caterer’s pans in a designated place (please ask khatum committee for further

- Hourly Maintenance Checks:
- Check the cleanliness of areas such as kitchens, bathrooms, and halls to prevent accidents and to ensure a level of cleanliness is observed in the House of Allah
- Check that there are no water spills on the floor. (Use mop and bucket provided to pick up all spills immediately to remedy this situation).
- Check that the rubbish bins are not overflowing. (Inform the caretaker who will empty the bin/s into the outside bin).
- Dispose of all rubbish (disposable plates, cups, empty beverage bottles etc) in black bin bags.
- Damage
- Ensure you report any damage found at the start of the Khatum period, to the Khatum Committee; to prevent being charged.
- Report any damage caused throughout the khatum duration to the Khatum Committee.
- Remember that any aesthetic or structural damage caused will need to be paid for.
